I’d enrol the laptops at least into Microsoft Endpoint Manager (InTune) so you can apply device management policies and monitor activity; potentially doing for the server too.

Introduce a date/time class you use everywhere in your app that needs “now” that normally returns the current time. For testing, you can explicitly set the return value (because it’s static or injected) to a particular value to freeze

Why are salaries a no-go from being paid for by sponsorships? The sponsors shouldn’t care how you spend the money internally, they’re buying advertising. Salaries of staff (payroll) is often the largest expense, it’s totally fine to pay you
